RESPONSIBILITIES:

Reporting to the General Manager, the Document Controller is responsible for the following:

• Maintain confidentiality around sensitive information and terms of agreement.
• Manage the flow of documentation using transmittal sheets.
• Use procedures from the project library and project specific procedures.
• Use tools and process documents in compliance with VTEK procedures and project instructions to meet Document Management Standards.
• Assist in setting up distribution matrices in the Document Management System.
• Register and maintain the document master list of attributes in the Document Management System, such as facility breakdown structure codes, procurement package codes, etc.
• Allocate deliverable document numbers as required.
• Provide reports from the Document Management System such as the engineering status and vendor/contractor document submission status, engineering progress measurement, review cycles and assist in expedite internal reviews.
• Manage the Document Management System portals for transmitting, receiving and distributing documents to internal and external users.
• Audit data in the Document Management System to ensure accurate reporting.
• Participate in other project document control initiatives and data management tasks.
• Assist with the final handover of documentation.

QUALIFICATIONS:

• 3+ years of experience in office automation, administration, secretary;
• High school or College diploma in office automation, secretarial work;
• Excellent English, written and spoken;
• Ability to translate technical documentation;
• Creation of different types of administrative documents;
• Great sense of detail and precision;
• Excellent interpersonal skills;
• Work with unpredictable and tight deadlines;
• Excellent knowledge of the MS Office suite;
• Good knowledge of Adobe Pro, Publisher, SharePoint, etc.
